Board meeting in Syndey?

Hi all, is it worth planning ahead for a meeting room, etc. in Sydney?
Or should we just take some BoF time or an evening to hide away in a
room for a bit?  I assume our numbers will be small.  I've got a hotel
room that has a separate living room and is supposed to be spacies - it
could be a fine place for us to meet as well.  My plans are to be there
16th-26th.  I'm not sure about who all is going to be there - perhaps we
can take a tally now?

Before you get your English dictionary out to decipher my typos.. I
meant "spacious" not "spacies".. that just sounds creepy.

Tyler,
thanks again for bringing this one up. I will be in Sydney from 17th to
28th. and want to stress the need for at least one f2f meeting, ideally
with an option to connect those who cannot attend via Skype, telephone,
video conference etc.

Meeting in your living room is fine for me, with or without spacies.

Hi Tyler and others,
Good idea! Same arrival date for me in Sydney and also my room should  
have space. We can check that out in time I think. Possibly we can  
also ask Cameron if we can meet in the Lisasoft office which is a  
couple of minutes away from the convention center. It would at least  
ensure us we have good internet access.

Hi fellow Board members!

I arrive to Sydney 19 October 9h145, and I would love to participate in
a f2f meeting.  (I once walked into a board meeting in a past FOSS4G
event and sat down, like I belonged there ha..foreshadowing!)  My time
on Monday the 19th will likely be spent assisting with setting up the
workshop machines, and the rest of the week will be quite busy, so I
think it's important that we reserve a time now, before we arrive there.

Thoughts?

Hi,
the board should definitely take the chance to meet face to face, even if
we are not all there in person. I will be in Sydney on the 18th early
morning and my schedule for the conference is not as crammed as it used to
be so I can probably participate any time during that week.

It would be great to have a stable broad band internet connection so that
those not attending FOSS4G in person can follow via phone or better even
video. I suggest that we consider spending some money on a professional
set-up if that is desirable.

Who can help coordinate this?

I think the challenge will be selecting a specific time during that
week.  When are you thinking?  What about after the code sprint on
Saturday?  (I think that's the only time that we can all be free)

I can take care of this, with the expectation of meeting on the 19th.  My
apartment room should be good, but I'm waiting to hear back from them about
internet options.  They also host small conferences at the hotel so I assume
they could handle our needs if the room isn't good enough.  I'll also have a
day or two ahead to check out alternatives.

during the event.

I mention having the meeting on the Saturday after the Code Sprint,
because my time on the 19th will be mostly spent on workshop machine
preparations.

Tyler,
LISAsoft have meeting rooms that the board can use on Monday, and we are
only 5 to 10 minutes walk from the conference center.

We have a couple of rooms that fit 4 to 6 people and is almost always free.
Also have a bigger meeting room, but that might be in use and I'd and
I'd need to negotiate for its use.

All rooms have broadband, a computer and a phone.
We also have wireless access.


I suggest meeting on Monday 19 October, in the afternoon so that:
1. Tyler can coordinate the Bag packing which is happening Monday
morning (the bag packing room is being set up for workshops Monday
afternoon)

2. You will have a bit more time to arrive in case you have delayed
flights or similar.

3. We could leave for dinner afterwards.

Do you realise the code sprint is on Saturday? I assume half the board
will be at the code sprint.
Saturday won't work because we won't have employees around to open the
office for you.

You could sit ourside our office (which is on a wharf) and make use of
our wireless. I suspect the cafe a few doors down would still be able to
see our wireless.

Thanks Cameron, we're still debating at how/when/where for the meeting...

Jeff brought up the idea meeting at the code sprint actually, maybe we can
talk an hour or so out of sprinting to have a meeting - or meet during the
lunch time or similar.  Then we wouldn't need to change venue, etc.

Is that what you were thinking Jeff?  Of course we could meet at the FOSS4G
venue during the event sometime too, like at lunch or dinner.  Or zip over
to Lisasoft during the week sometime so others can skype in to the chat.

Here is who I think is attending FOSS4G and may be available for the
meeting:

* Attending: Tyler, Jeff, Arnulf, Geoff, Ravi (no quorum)
* Not attending: Bob, Ari, Chris, Markus, Frank

I would find it valuable to have any of the 'outgoing' directors attend if
they are available too, e.g. Jeroen and Paul.

I'll let you decide when to meet.
You probably also want to consider an appropriate timeslot if you are
skyping in people from around the world. Australia works the graveyard
shift for the Americas and Europe.
